Duties and Responsibilities
Executive Board
The Executive Board consists of those positions elected by the members. These are President, Vice-President, Treasurer, Membership Officer, Recording Secretary, and At-Large Members. Currently, the Executive Board has three At-Large Members.
The Executive Board assumes their positions after the election held at the Annual Meeting, currently held in February, for the membership year beginning April 1st and running through March 31st of the following year.
President
The President is elected to the Executive Board of Directors by the Membership. Duties of the president include:

Attend monthly Board meetings.

Appoint the Chairmen of all permanent organizational sections or committees with the concurrence of the Board and/or Section Members

Assign special duties to the other officers of the Corporation as may be necessary
-
May authorize payment of services, equipment, or other expenses.

May make electronic payments via the Club’s financial institution, use the Club credit/debit card for such payments, or manually sign all checks, drafts, and orders for payment of money in the name of the Corporation.

Enter into any contract or execute and deliver any instrument in the name of and on behalf of the Corporation.

Authorize other Board Members to enter into specific contracts or to execute and deliver any specific instrument in the name of and on behalf of the Corporation

Organize, chairs, and conducts the Corporation’s Annual Members’ Meeting

Promote LASC in Los Alamos and in the shooting community.

May conduct new member orientations.
-
Respond to special requests, questions, etc. by the Membership and Community as needed.

Serve as chair of the Executive Committee (President, Vice-President, Recording Secretary, Membership Secretary, and Treasurer)
Vice-President
The Vice President is elected to the Executive Board of Directors by the Membership. Duties of the vice president include:

Attend monthly Board meetings.

In the president's absence, the vice president will assume the duties of the President.

Conduct the monthly board meeting or other business meetings of the Corporation in the absence of the president.

May authorize payment of services, equipment, or other expenses.

May make electronic payments via the Club’s financial institution, use the Club credit/debit card for such payments, or manually sign all checks, drafts, and orders for payment of money in the name of the Corporation.

Responsible for special Corporation functions as assigned by the President and/or Board.

Conduct club business with the consent of the board and the president.
-
Help with coordinating major club events.
-
Field questions in his or her area of expertise.

When a vacancy occurs in the office of the President, the Vice-President shall become the President and shall serve for the duration of the unexpired term.

Manage the LASC Calendar of Events
-
Schedule events as requested by Section Chairs and other authorized facility users.

Provides Section Chairs with website passwords and authorizations to edit specific website pages pertaining to their sections

Update the Calendar when changes in schedule occur

Manage the LASC Range Use Agreement (RUA) Process
-
Serve as the LASC Point of Contract for individuals requiring an RUA.

Approval authority for LASC for RUAs.

Ensure all prerequisites are met prior to approving RUAs.

Maintain files on all approved
-
Provide the LASC Secretary with a copy of all approved RUAs.
-
Monitor the expiration dates of RUAs.
-
May conduct new member orientations.
-
Promote LASC in Los Alamos and in the shooting community.
Membership Officer
The Membership Officer is elected to the Executive Board of Directors by the Membership. Duties of the membership secretary include:

Attend monthly Board meetings.
-
Maintain the online membership management portal (Currently at http://lasc.wildapricot.org/) showing the names of all members in good standing, the numbers of the membership badges assigned to members

Obtain, organize and prepare the membership credentials such as badges and renewals for such credentials
-
Issue badges and access cards to new members at monthly new member and safety orientation sessions
-
Ensure that supplies for orientation are updated and current.
-
Train other Board Members or designees on new member orientation procedures
-
Conduct new member orientations.
-
Maintain and update as needed the electronic lock system currently on the main door to the LASC Clubhouse
-
Ensure the membership renewal process is timely and accurate
-
Respond to membership-related requests and problems.
Recording Secretary
The Recording Secretary is elected to the Executive Board of Directors by the Membership. Duties of the Recording Secretary include:

Attend monthly Board meetings

Take minutes at all Board and other business meetings or arrange for a substitute if absent

Write up, check, and distribute Board meeting minutes via email to all Board members. This process should be completed by the Sunday following the Board meeting if possible.

Maintain LASC Club records including minutes and bylaws.

Periodically, check for and respond to phone messages on the Club telephone at 662-7911, access #51329
-
Assist in other duties as requested by the Board and assigned by the President which can include looking into old issues from time to time and updating the Bylaws as required.
Treasurer
The Treasurer is elected to the Executive Board of Directors by the Membership. The Treasurer shall have custody of all monies of the Corporation. Duties of the treasurer include:

Attend monthly Board meetings.

Make deposits of monies for the Corporation into the appropriate account. These deposits can include section income, donations, member dues, etc.

May authorize payment of services, equipment, or other expenses.

On a weekly basis, check, retrieve, and re-distribute in a timely manner Club mail collected at the main Los Alamos post office
-
Maintain an accurate financial status for using the Board voted-upon and approved financial system
-
Provide detailed financial reports from the Club’s financial system for the prior calendar month at Board meetings. The reports shall include:

Balance Sheet

Income Statement
-
Statement of Cash Flows
-
List of Checks Paid
-
List of Deposits
-
-
Filing Corporation taxes and forms to support non-profit organization status
-
Duties can also include other miscellaneous duties related to money and taxes as specified by the Board.
At Large Members
The At Large Members are elected to the Board of Directors by the Membership. The At Large Members will be responsible for a special Club function/event/task as assigned by the President and/or Board each year. At Large Members are expected to attend the Board and Business meetings. At Board Meetings, they are expected to present progress reports on their assigned projects.
